Documentation
The Bookkeeper's Office: public documentation.
How the system works, how it gets into your GoHighLevel account, and how to keep it running. This page is the public overview; the full step-by-step setup guide ships with your purchase.
How the product works
A snapshot, not a subscription.
The Bookkeeper's Office is a GoHighLevel snapshot: a complete, pre-built account configuration that copies into your own GoHighLevel account in one import. After the import, everything lives in your account, under your control, with nothing rented from us.
Pipelines
Lead, proposal, onboarding, and monthly-retainer pipelines with stages named for how a bookkeeping engagement actually moves.
Six automations
Instant new-lead reply, discovery-call booking with reminders, document-chase escalation, tax-deadline countdown, monthly report delivery, and post-delivery review requests.
Consult funnel page
A "book a free consult" page connected to the booking automation, ready for your branding.
Template library
15 to 20 email and SMS templates written in bookkeeper language: document requests, deadline nudges, report cover notes, and review asks.
Setup guide
A roughly 20-page guide delivered with purchase: the import walkthrough, the customizations most practices make first, and the maintenance routines below.
Yours after import
Every pipeline, workflow, page, and template is editable after import. Nothing is locked, and BuiltSuite has no access to your account.
Import overview
From purchase to working office in about 10 minutes.
Buy and open the guide
One payment of $147. You instantly receive the setup guide, which contains your private snapshot import link.
Click your import link
The link opens GoHighLevel's import flow. Sign in, confirm the import, and the full system (pipelines, automations, funnel page, templates) copies into your account.
Customize with the guide
Add your logo, firm name, calendar, and sender details. The guide walks each step in order; most practices finish in about 10 minutes.
You need an active GoHighLevel account before importing. The system works on any standard GHL plan; the guide covers what to check if you are starting fresh.
Maintenance
Keeping your office running.
The system is built to run unattended, but a few light routines keep it sharp. The setup guide shows each one with screenshots; the summaries below are the public version.
- Updating templates. Edit any email or SMS template in your GHL template library as your voice or services change. Changes apply to future sends automatically; the guide marks the templates most practices personalize first.
- Pausing automations. Each automation is a standard GHL workflow. Toggle it off from the workflow list when you are on holiday or at capacity, and back on when you return. Pausing never deletes anything.
- Adding team members. Add staff in your GHL account settings and assign them to pipelines and calendars. The automations route work to whoever owns the contact, so new team members are picked up without rebuilding anything.
- Seasonal adjustments. The tax-deadline campaign runs on dates you control. The guide shows where to update the calendar for your jurisdiction's deadlines each year.
Link rotation policy
Why your import link changes, and what to do about it.
The short version
Snapshot import links are private to each buyer. If a link is shared publicly or shows signs of misuse, we rotate it: the old link stops working and every verified buyer receives a fresh one at their order email, free of charge.
- Why rotation exists. The license covers one GoHighLevel account per purchase. Rotation keeps the system exclusive to the people who paid for it, which protects the value of your purchase too.
- If your link stops working. Email [email protected] from your order address and we send your current link, usually the same business day. This is never charged.
- Already imported? Nothing changes. Rotation only affects the import link. A snapshot that is already in your account keeps running; your imported copy is yours to use under the license.
- Keep your link private. Do not post it, forward it, or share it with other firms. Sharing a link is the fastest way to trigger a rotation for everyone.
FAQ
Documentation questions, answered.
Is this the full setup guide?
No. This page is the public overview. The full step-by-step guide, with screenshots for every import and customization step, ships with your purchase of The Bookkeeper's Office.
Do I need GoHighLevel before I buy?
You need an active GoHighLevel account before you import, not before you buy. The setup guide walks you through getting started on any standard GHL plan if you do not have one yet.
What happens if an automation sends the wrong message?
Pause the workflow from your GHL workflow list, edit the template, and turn it back on. The guide shows the exact clicks, and support can walk you through it within 48 hours.
Can I use it for more than one business?
Each purchase licenses one GoHighLevel account. A second practice or a second account needs a second purchase; see the Terms of Service.
What if my import link does not work?
Email [email protected] from your order address. Links are occasionally rotated for security (see the policy above); verified buyers always get the current link free. If the snapshot genuinely fails to import as described, the 14-day refund guarantee applies.
Does BuiltSuite see my client data?
No. The snapshot copies into your own GoHighLevel account and runs entirely there. We never have access to your account or your clients' information; see the Privacy Policy.
